Broker Integration

Why broker integration depth matters for NEMT operations

Broker integration is one of the operational realities that separates NEMT software that saves time from NEMT software that creates more work than it saves. Each broker has its own portal, its own trip data format, its own status update protocol, and its own billing requirements. Without direct integration, dispatchers spend hours every day in broker portals manually entering trip data, updating statuses, and reconciling billing.

Direct API integration removes that manual layer. Trip data imports automatically from each broker. As drivers update trip status through their mobile apps — confirmed, on the way, arrived at pickup, completed — those updates push back to the broker's system in real time. At the end of the trip, billing data generates automatically in the broker's required format. The result is back-office hours saved every day, fewer errors, and faster reimbursement.

Direct Broker Integration

What direct broker integration means in practice

Trip data imports automatically

When a broker authorizes a trip, the trip data flows into your dispatch console without anyone in your operation logging into the broker's portal. Standard trip details — patient name, pickup address, drop-off destination, appointment time, specialty requirements, broker authorization number — all populate automatically and appear in your trip queue ready for assignment.

Status updates push back in real time

As drivers move through each trip and update status through their mobile app — confirmed, on the way, arrived at pickup, patient on board, arrived at drop-off, completed — those updates push back to the broker automatically. Brokers see real-time status from your operation without you logging into their portal to update them.

Broker-specific billing formats generate automatically

Each broker has its own billing format and submission requirements. Some accept standard 837P EDI. Some require broker-specific upload formats with their own field structure. Some need CMS 1500 paper or PDF. Direct integration handles each broker's specific format, generating the right file type from completed trip data.

Eligibility verification

Trip authorizations include eligibility data that's checked against your provider credentials before trips are accepted. Eligibility issues are flagged at the trip level rather than discovered later during billing.

Custom Broker Integrations

Don't see your broker?

If you work with a broker not listed above, custom broker integrations are available on request. Most new integrations launch within 30-60 days of contract — the timeline depends on the broker's API documentation, sandbox availability, and certification process. Common requests include regional Medicaid brokers, managed care plan-direct integrations, hospital system transportation programs, and state-specific broker contracts.

Custom integration work is scoped before it starts. We document what's required, give you a written estimate, and proceed only after you approve the scope.
